Position Overview

Are you looking to be part of a growing and developing team in an organization that values its people, customers, work, and supply chain? If so, APEX is currently accepting applications for an Operations Coordinator within its Steel Door Manufacturing Group.

This is a full-time, permanent position reporting to the Operations Manager. The primary role of this position is to assist with the administration for the operations team, including but not limited to: performing billing, inventory, and purchasing functions, as well as customer service responsibilities.

Some overtime may be required and training will be provided.

Responsibilities

Prepare Sales Orders, Purchase Orders, and Sales Invoices.

Update and maintain schedule, SYSPRO software, and excel report tracker.

Receive and release inventory items in system software.

Order and monitor shop/office supplies

Close out jobs or purchase orders and track their delivery schedules.

Check and control inventory of shop supplies on vending machine (review monthly usage, receive, inventory check, control budget, invoice, etc.).

Follow-up with suppliers on open purchase orders.

Oversee shipping documents, obtain quotes, review invoices, and arrange pickups with carriers.

Prepare letters, memos, and various reports for management team from time to time.

Update, organize, file, and maintain documentation.

Organize team meetings and record minutes as necessary.

Provide customer support and address client inquiries in a courteous and professional manner.

Assist in the organizing and planning of team events.

Look for ways to increase profitability of projects or reduce expenses where possible.

Track budgets and warranties.

Some front desk representative duties as required to cover receptionist vacations.

Other administrative duties as assigned.

Qualifications

College diploma in Business Administration or equivalent combination of education and experience.

Self-motivated and approachable with high positive energy and an engaging level of enthusiasm.

Liaise and communicate with team or customers in a professional, friendly manner.

Strong teamwork skills, as well as ability to work independently with minimal supervision.

Good communication and business writing skills.

Proven ability to demonstrate attention to detail.

Excellent time management skills with a keen ability to organize workload.

Strong experience with office management systems (i.e. ERPs and Microsoft Office).

Ability to handle sensitive information with a high degree of integrity and confidentiality.

Ability to multi-task in a fast-paced environment with tight deadlines and adapt to change.

Experience in logistics planning and schedule management would be considered an asset.
